  • ADDENDUM 2 RFQ #2019 Website Design July 9, 2019 Questions will be taken up until Monday, July 29, 2019 – 12:00pm Noon. Final Q&A will be posted by end of day Monday, July 29, 2019 – 4:00pm. The following questions were received July 9 – July 10, 2019 Q.) Pages 7 and 9, the mention integrating with your business systems: Page 7: Coordinate/integrate with other business applications in use by the agency, including (but not limited to): STEPS/Salesforce; ADP; e-commerce solutions (such as Raiser’s Edge); etc. Page 9: In addition, the new website will be able to interface with other business applications in use by the agency (including: STEPS – Salesforce application), to enable universal online intake for CRT’s programs and services. This will reduce barriers to the clients we serve and improve the agency’s overall efficiency. A separate, concurrent project for the enhancement of the STEPS system will be happening at the same time that work is being done to improve CRT’s website. Does this mean integration using API’s, or using a self-service solution from any of these providers to integrate with the site? Or, would this be presenting selected content within iframes? This could potentially be a very big element of the project (if it’s an API) or something simple (iframes). So please provide as much detail as we can get on this. A.)CRT expects the selected vendor to make a best practice recommendation. However, that being said, it is the desire of CRT to implement a website ecosystem which can leverage existing best I class solutions. The website platform should have the ability to integrate across multiple platforms so that the organization is not spending significant dollars on software development and integration costs. Q.) Page 7 talks about Artificial Intelligence, Alexa and Chat Bots: The website should be able to leverage Artificial Intelligence and/or Chat Bots for initial customer contact (such as via Alexa, or other voice-based interfaces). This should be a multilingual tool. Do you mean a search-based FAQ area, where people can enter keywords and it narrows down to solutions/answers? Something like this: https://docs.funancial.com/articles/#!userguide-funancial-publication/funancial-insight/ Or can you provide more detail on what they you looking for? A.) The website example above is a good idea, and certainly worth considering. At the same time, the idea here is to ensure that the new site will be compatible with new technologies that are available now (and looking ahead to future needs), such as use with voice-enabled devices (i.e., Alexa), etc. Q.) Event/Donation Registration and Payment The RFP mentions that the client would like to have a single form for programs and services, online donations or purchases for events/activities, subscription to CRT newsletter, request for information, and more. These all seem to be different in many ways - so can CRT provide more information on how (and why) a single form would accommodate all of these uses? There is an online registration and payment form here: https://www.crtct.org/en/events/meals-on-wheels-golf-classic-2018. Please let us know how this form and the payment are processed. Is this form created using a third-party provider, and then being displayed using an iframe? Or does the site have (and the new site need to also have) a system for creating these types of forms, and processing payments? If the latter, what payment gateway do you use (PayPal, Authorize.net, etc)? A.) We would like to be able to have a single form/page that is “intelligent” so that when a user selects an option, such as payment or newsletter subscription, the completed form will be directed to the right person or department within the agency. The form referenced in this question ties in to our use of Raiser’s Edge, but that might not be the payment processing tool in the future. We trust the selected vendor will provide guidance/expertise about how to best fulfill these needs. Q.) Translation The current site has dedicated English and Spanish versions. Up until now, it was possible to use Google Translate, but Google has discontinued new website signups for that service. See https://translate.google.com/intl/en/about/website/. They encourage the use of browser-based translation… available in Chrome of course, but also for Firefox. But Microsoft now has it for Edge, Apple for Safari. There are some site-installed alternatives - this one is new and hot: https://www.deepl.com/pro.html#pricing. We can also use a Wordpress plugin: https://wpml.org/ ($80). Can you describe their expectations in this area, based on the above? A.) We are open to suggestions for the best auto-translate tool that can accommodate the native-language needs of our site visitors. The following questions were received on July 9, 2019; Q.) Please confirm that vendors must have a brick-and-mortar location within Connecticut to submit a proposal. A.) As per the RFP document, Responding vendors must have physical (brick and mortar) offices within the tri-state area. Q.) Are you open to using a new and different CMS than Joomla, such as WordPress? A.) Yes – we are expecting the vendors to provide their recommendations for the best CMS tool to use. Q.) Are you looking to downsize and replace content…or just refresh the current design of the site? A.) We will be migrating much of the existing content to the new site; and adding new content, as needed. Q.) Are any of your third-party business applications (such as STEPS case management software, Salesforce) specific to Joomla? A.) No, the third-party applications are not specific to Joomla, but they must be able to integrate with the chosen CMS for this project. Q.) You mention the current site is built on Joomla (which is LAMP stack, meaning PHP with a MySQL database). Do you care about the technology stack and do you have anyone on staff who is technical, or do you just want a trusted partner to build you a better, more up-to-date solution with best-in-class design practices regardless of technology stack? (Your options are Drupal, WordPress and our favorite: Python with DjangoCMS which most people haven't heard of but has been a fantastic (and secure) solution for many of our clients. A.) As noted above, we are seeking guidance from the vendor to provide the best CMS we can use for the needs of our website. As such, we are open to suggestions about which CMS to use for this effort. Q.) In terms of size and fit, we would envision a solution between $75K and $150K largely dependent upon customizations and integrations with things like Salesforce, Raiser's Edge, etc. (Our blended hourly rate is $200/hr). And a project of this size would likely take 4-6 months. Can you please let us know if this is in your budget range? A.) The budget for this project has not been determined. Q.) In terms of CMS, how many CMS users will you have, and would you place more emphasis on delivering CMS flexibility or marketing and design strategy for this project? Also, how often do you need to add/update content? Is your website maintained by a marketing and communications department or a different department. Can you give a general sense of your priorities vis-a-vis actual marketing (potentially with campaigns and pay per click advertising (PPC)), vs. image, reputation and simply making sure your message is clearly communicated to the correct audiences and that potential donors and partners are directed to the correct information. A.) We expect to have no more than 5 CMS users with access to the tool, but generally there will only be 1 or 2 people internally at CRT who are authorized to make updates. The emphasis for this project is a balance of CMS flexibility and ease of use for that tool along with working to develop a new look and feel for the CRT website that better reflects to vision and future of the organization. Content could be updated at any time, at least once/week – the CMS must allow for that flexibility. The website will need to be maintained by the Communications Director at CRT, and his/her designees, as needed. The following questions were asked on July 8, 2019; In reference to: Vendors will submit detailed proposals for CRT’s website along with its design/layout (making use of CRT’s current branding); taxonomy; and Content Management System (CMS); and then work with the agency to develop and implement the necessary improvements, or redevelopment if required, as outlined below: Q.) Are you asking for design work before the job is awarded as part of the bid? A.) No, we are not looking for design work in advance – but we do want to see other web design work they have done, esp. if for other nonprofit agencies, so we can get a sense of their style, capabilities, etc. The proposal should detail what design will cost, etc. Q.)To clarify, you're only looking to redevelop the website if necessary, so potentially will only contract for re-design? A.) It is to redesign the website, and improve on what we have currently, so making sure it is optimized for use on mobile devices, for instance. Q.)What is the current website built in? A.) The website is currently built with Joomla. Q.) Do you have a general idea of budget for this project? A.) The budget for this project has not been determined. Additional Description The Community Renewal Team, Inc. (CRT) is seeking proposals from qualified web developers and designers to build a new website for the agency. As the designated community action agency for both Hartford and Middlesex Counties, the Community Renewal Team, Inc. (CRT) maintains a website as one means to communicate with people in our region and beyond. CRT’s public-facing website (www.crtct.org) is intended to be an online destination to provide access to the latest information about the agency’s programs and services for the individuals and families that it serves throughout Central Connecticut.
